Terms and Conditions for Adventure & Event Bookings
1. Booking and Payment:
1.1. Bookings are confirmed upon receipt of full payment or a specified deposit, as indicated at the time of booking.
1.2. Payment can be made via [list accepted payment methods, e.g., credit card, bank transfer, online payment platforms].
1.3. Prices are as displayed on the event website or booking platform and are subject to change without notice, but changes will not affect confirmed bookings.
1.4. Any applicable taxes or fees will be clearly indicated during the booking process.
1.5. If paying a deposit, the remaining balance must be paid by [date/time] or the booking may be cancelled.
2. Cancellation and Refunds:
2.1. If you need to cancel then please let us know asap as we will try to resell your place for a refund (although this cannot be guaranteed) or send a friend.
21.2. The following cancellation charges will apply, calculated from the total booking cost:
- More than 65 days prior to the scheduled [Event/Travel/Activity] date: Cancellation fee of 25% of what has been paid (NOT Including the non-refundable deposit.) - 64 days to 31 days days prior to the scheduled [Event/Travel/Activity] date: Cancellation fee of 50% of what has been paid (NOT Including the non-refundable deposit.) - Less than 31 days prior to the scheduled [Event/Travel/Activity] date: Cancellation fee 100% of fee paid.
2.3. In the event of event cancellation by Project Active, a full refund will be issued, or attendees may have the option to transfer their booking to a rescheduled event.
2.4. Refunds will be processed within 14 working days of the cancellation confirmation.
2.5. No refunds will be given for non-attendance.
3. Event Changes and Postponement:
3.1. Project Active reserves the right to make changes to the event programme, speakers, venue, or date due to unforeseen circumstances.
3.2. If the event is postponed, attendees will be offered the option to transfer their booking to the rescheduled date or receive a refund.
3.3. Project Active will make reasonable efforts to notify attendees of any changes or postponements as soon as possible.
4. Attendee Conduct:
4.1. Attendees are expected to conduct themselves in a respectful and professional manner.
4.2. Project Active reserves the right to refuse entry or eject any attendee who disrupts the event or behaves in a manner that is deemed inappropriate.
4.3. Attendees must comply with all venue rules and regulations.
4.4. Any damage caused by an attendee to the venue or event equipment will be the responsibility of the attendee.
5. Liability:
5.1. Project Active is not liable for any personal injury, loss, or damage to property sustained by attendees during the event, except where caused by negligence on the part of the organiser.
5.2. Attendees participate in the event at their own risk.
5.3. Project Active is not responsible for any travel or accommodation expenses incurred by attendees due to event changes or cancellations.
5.4. Project Active is not liable for any lost or stolen items.
6. Intellectual Property:
6.1. All event materials, including presentations, handouts, and recordings, are the intellectual property of Project Active or the speakers.
6.2. Attendees are not permitted to reproduce or distribute event materials without prior written consent.
6.3. Recording of the event (audio or video) may be prohibited, or allowed only with permission of Project Active.
7. Photography and Videography:
7.1. Project Active may take photographs or videos of the event for promotional purposes.
7.2. Attendees who do not wish to be photographed or filmed should inform Project Active in writing prior to the event.
7.3. Attendees may be allowed to take photos or videos for personal use, unless otherwise stated.
8. Data Protection:
8.1. Personal data collected during the booking process will be processed in accordance with the Project Active privacy policy.
8.2. Attendee information may be shared with event partners or speakers for event-related purposes.
8.3. Project Active will take reasonable measures to protect attendee data from unauthorised access.
9. Force Majeure:
9.1. Project Active is not liable for any failure or delay in performing its obligations due to circumstances beyond its reasonable control, including but not limited to acts of God, natural disasters, war, terrorism, or pandemics.
10. Governing Law:
10.1. These terms and conditions shall be governed by and construed in accordance with the laws of the United Kingdom.
10.2. Any disputes arising from these terms and conditions shall be subject to the exclusive jurisdiction of the courts of the United Kingdom.
11. Acceptance of Terms:
11.1. By booking an event, attendees acknowledge that they have read, understood, and agree to these terms and conditions.
12. Project Active is not ATOL (Air Travel Organisers' Licensing) or ABTA (Association of British Travel Agents) registered:
12.1. No ATOL Protection: If your booking with us includes flights, these flights (and any linked travel arrangements) are not protected under the ATOL scheme. The ATOL scheme provides financial protection for flight-inclusive package holidays, ensuring that if an ATOL-protected holiday company ceases trading, you will either be able to complete your holiday or receive a refund if you are yet to travel, or be repatriated if you are already abroad. As we are not ATOL registered, this protection does not apply to any bookings made through us
12.2 No ABTA Protection: Your booking is also not protected under the ABTA scheme. ABTA provides financial protection for non-flight package holidays and travel services, and also offers a Code of Conduct and dispute resolution services. As we are not ABTA registered, this protection and these services do not apply to any bookings made through us.
12.3 Your Financial Risk: In the unlikely event that Project Active ceases trading, you would not be covered by the ATOL or ABTA financial protection schemes, and there would be no guarantee of a refund for services not yet provided, or of repatriation if you are abroad.
12.4 Comprehensive Travel Insurance is Essential: We strongly advise all customers to purchase comprehensive travel insurance at the time of booking that includes cover for Supplier Failure/Insolvency (also known as 'End Supplier Failure' or 'Financial Failure'). This type of insurance is designed to protect your payments in the event that a travel provider (including us) or any element of your holiday (e.g., airline, hotel) ceases trading. Please check your policy carefully to ensure it provides this specific cover.
12.5 By proceeding with a booking with Project Active, you acknowledge and accept that you understand these limitations regarding financial protection and agree to assume the associated risks.
